Vendors & Exhibitors Information

The Adventure Game Fan Fair is just weeks away, and we wanted to share some quick updates and details on the weekend for you. As a reminder, a full list of vendors and exhibitors are available on the Showcase section of the Adventure Game Fan Fair website. If you have any corrections to make, please let us know. 

Schedule

Friday, July, 26
We will be opening the doors for you at 9 AM, three hours before the general public. By then, we should have tables with cloths, pipe and drape, power, and general setup complete, leaving you that time to set up your things and prepare for our noon opening.

The Vendor and Exhibitor Halls will close at 5 PM when we transition to evening events, the only space that will remain open is the main auditorium. If you need access to your room, staff will be able to get you in, but they will be closed to the public. The building will be closed and locked at 9 PM. 

Saturday, July 27
We will be opening the doors for you at 8 AM, one hour before the general public. That hour can be used for resetting and restocking as necessary, before fans arrive at 9 AM.

Like the previous day, we’ll close things up at 5 PM. The main auditorium will be hosting the Adventure Game Awards and Adventure Game Hall of Fame from 6-9 PM, but everything else will be closed off to attendees. If you need access to your room, like Friday, staff will be able to get you in. The building will be closed and locked at 9:30 PM. 

Sunday, July 28
We will start with an 8 AM opening for vendors and exhibitors, and a 9 AM opening for the public.

Finally, Sunday’s 5 PM close will start the clock for a three-hour teardown, with the rooms expected to be empty by 8 PM on Sunday.

9 AM: Open to exhibitors and vendors only

5 PM: Open to exhibitors and vendors only

SATURDAY, JULY 27
8 AM: Open to exhibitors and vendors only
9 AM: Open to attendees
5 PM: Open to exhibitors and vendors only
9:30 PM: Doors close

SUNDAY, JULY 28
8 AM: Open to exhibitors and vendors only
9 AM: Open to attendees
5 PM: Open to exhibitors and vendors only
9 PM: Doors close, tear-down complete

At any time you feel you need to step away from your booth, you’re welcome to cover it. Event security will be on hand.

Floorplans

The floorplan for the weekend has been finalized. For all locations, signs will be posted in the hallway directing attendees to them. Restrooms are located in CP Lobby. Entry and exit to the Adventure Game Fan Fair is through the Cherry Parkes Lobby (“CP Lobby”) on the South C Street side of the building. This is also the side for loading and unloading. 

For vendors, VR games, and the museum, Cherry Parkes Room 106 (CP106) is being called the “Stauf Museum” and is located to the right after entering. The tables in CP106 have approximately 60″x30″ of table space both atop and underneath them, as well as an additional roughly 60″x36″ of space behind vendor chairs and before the pipe and drape. 

For game exhibitors, William Philip Hall is to the left after entering (Jane Russell Student Commons in WPH) and is being called the “Pandora Exhibitor Hall.” The tables provided for game exhibitors measure 72″x30″, and pipe and drape will hang behind the tables on the perimeter. 

There are power outlets along the walls, and we will be providing additional power as needed via floor-taped extension cables and surge protectors.

Parking

Parking is not included; there are no permit requirements for street parking on the UW Tacoma campus, but if those spaces are unavailable, single-day parking passes for the Tioga, Pinkerton North, and TPS parking lots can be purchased for $9 and displayed on the dashboard. Note that the closest lot, Cragle, is closed due to repairs and construction, and will not be available for vendor pass use that weekend. The passes are valid from 6 AM to 11 PM. 

Finally, if necessary, Republic Parking Northwest manages parking lots at the Greater Tacoma Convention Center, the Glass Museum, and the Tacoma Art Museum, all of which are within walking distance of the event.
