Vendors & Exhibitors Information

The Adventure Game Fan Fair is just days away, and we wanted to share some quick updates and details on the weekend for you, especially in light of the venue change to the Greater Tacoma Convention Center. As a reminder, a complete list of vendors and exhibitors is available on the Showcase section of the Adventure Game Fan Fair website. If you need to make any corrections, please let us know. 

Schedule

Friday, July, 26
We will open the doors for you at 9 AM, three hours before the general public. By then, we should have tables with cloth, power, and general setup completed, leaving you that time to set up your things and prepare for our noon opening.

The Museum (Room 318) and Exhibitor (Room 317) spaces will shut down at 5 PM when we transition to evening events. Staff can get you in if you need access to your room, but they will be closed to the public. Vendors in the Main Hall will also close at 5 PM for evening festivities and should drape or shut down their tables.

Note: Our evening event will use space in the Exhibitor Room (317) – so please either store your equipment underneath the table or make arrangements to take valuables with you this night only.

Saturday, July 27
We will open the doors for you at 8 AM, one hour before the general public. That hour can be used for resetting and restocking as necessary before fans arrive at 9 AM.

Like the previous day, we’ll close things up at 5 PM. The Auditorium will be hosting the Adventure Game Awards and Adventure Game Hall of Fame from 6 – 9 PM, but everything else will be closed off to attendees. If you need access to the Museum or Exhibitor rooms, like on Friday, staff can get you in by request. The building will be closed and locked at 9:30 PM.

Sunday, July 28
We will start with an 8 AM opening for vendors and exhibitors and a 9AM opening for the public.

Finally, Sunday’s 5 PM close will start the clock for a three-hour teardown, with vendor and exhibitor tables expected to be clear by 8 PM on Sunday.

FRIDAY, JULY 26
9 AM: Open to exhibitors and vendors only
12 PM: Open to attendees
5 PM: Exhibitors and vendors close for evening events
9 PM: Doors close

SATURDAY, JULY 27
8 AM: Open to exhibitors and vendors only
9 AM: Open to attendees
5 PM: Exhibitors and vendors close for evening events
9:30 PM: Doors close

SUNDAY, JULY 28
8 AM: Open to exhibitors and vendors only
9 AM: Open to attendees
5 PM: Exhibitors and vendors close
8 PM: Vendor tear-down complete
9 PM: Doors close

You are welcome to cover your booth at any time if you feel the need to step away. Event security will be on hand.

Floorplans

The Convention will be held entirely in the North Wing of the 3rd floor of the Greater Tacoma Washinton Center. Restrooms, refreshments cart, and a vending machine are located beyond Registration. There is an ATM on the 5th floor. Entry and exit to the building itself are through the 15th Street door on the north side.

All tables will measure 72″x30″ worth of table space, with tablecloth covering all but the back side for storage. There are power outlets along the walls, and we will provide additional power via floor-taped extension cables and surge protectors.

Game Exhibitors will primarily be located in Room 317, with a table each. For VR Games and the Museum, Room 318 is located at the far end of the hall. All other vendors and guests will be positioned in the Main Hall.
